The Numeris Effect

1. Client Onboarding & Setup (Week 1)

Here’s where we gather the information needed to handle your work efficiently.

  • Initial discovery & needs assessment — Identify business structure, GST obligations, payroll requirements, reporting cycles, and software preferences.
  • Accounting software setup or optimisation — Configure Xero, MYOB, QuickBooks, or similar; set chart of accounts; enable bank feeds; set GST settings.
  • Document collection & organisation — Gather prior financials, invoices, receipts, payroll records, ATO correspondence, and bank statements.
  • App integrations — Connect Hubdoc, Dext, POS systems, payment platforms (Stripe, Square), or inventory tools.
  • Workflow setup — Establish processes for receipt capture, invoice approvals, payroll cycles, and communication.

2. Historical Cleanup & Catch‑Up (Week 1–2)

Here’s where we bring messy or outdated books up to date.

  • Bank reconciliation — Reconcile all bank, credit card, and loan accounts for the period agreed.
  • Transaction categorisation — Allocate income, expenses, assets, liabilities, and GST correctly.
  • Fixing coding errors — Correct duplicated transactions, misallocated GST, or incorrect account mapping.
  • Balance sheet cleanup — Review accounts payable/receivable, suspense accounts, clearing accounts, and loan balances.
  • GST review — Ensure GST codes are correct and BAS‑ready.
  • Payroll cleanup — Fix employee setup, leave balances, superannuation, and STP errors.

3. Ongoing Tasks (week 2 and beyond)

  • Weekly or fortnightly transaction processing — Categorise expenses, match payments, and maintain up‑to‑date books.
  • Accounts payable management — Enter bills, schedule payments, maintain supplier records.
  • Accounts receivable management — Create invoices, send reminders, manage overdue accounts.
  • Payroll processing — Run payroll, lodge STP, calculate super, maintain employee records.
  • BAS preparation support — Prepare BAS data for review by a BAS agent or accountant.
  • Cash flow tracking — Set up simple cash flow reports or dashboards.

4. Reporting & Advisory (Post-Week 2)

We help you understand your financial position.

  • Monthly or quarterly financial reports — Profit & loss, balance sheet, cash flow, GST summary.
  • Custom management reports — Job costing, project profitability, budget vs actuals.
  • KPI setup — Revenue trends, gross margin, debtor days, cash runway.
  • Review meeting — Walk the client through their numbers and next steps.

5. Optional Value‑Add Projects

These can be added to create a premium experience.

  • Workflow automation — Rules, templates, recurring invoices, automated reminders.
  • Receipt capture training — Teach clients how to use Dext/Hubdoc effectively.
  • Payroll compliance review — Check awards, overtime rules, and super obligations.
  • ATO lodgement preparation — Organise documents for the accountant or BAS agent.
